We implemented FileBound in May 2008 with distributed scanning and workflow to help us manage our Accounts Payable approval process which had become a cumbersome process of Fedexes back and forth and long delays due to the distance between our offices and the accounting department. Every department of the Glenwood Hot Springs organization-the Pool, the Lodge, the Sports Shop, the Athletic Club, Maintenance, HR, Administration, The Spa and the Restaurant- transferred Accounts Payable data like Purchase Orders, Invoices and Payment approval paperwork from copy machine to Department In-baskets. John Bosco, the CEO, implemented Filebound ECM, and The Accounts Payable project was then designed with workflow and e-forms to automate the previous analog payment process. At the mail room level, new Invoices are scanned and indexed, then uploaded. During the upload process, the Invoice’s are routed to each Department for approval automatically, each manager getting email notification as well. Each Invoice is also run thru an OCR engine to provide word search capabilities. The department manager approves or rejects the Invoice electronically. John notes: “The whole process is accomplished in hours instead of days, and the repository is available anytime for retrievals.”
